1. Introduction
Flowlify ("Flowlify," "we," "our," or "us") builds AI receptionist software that answers calls, books appointments, and qualifies leads for clinics and small businesses. This Privacy Policy describes the information we collect through our website flowlifyai.com and through the services we provide to our customers, how we use it, and the choices you have.
By using our website or services, you agree to the practices described in this Policy. If you do not agree, please do not use the site or services.
2. Information we collect

- Contact details when you fill out a form (name, business name, email, phone number).
- Messages and questions you send us through contact forms or email.
- Booking and demo-request information.
- Account or billing information if you become a paying customer.
Information collected automatically

Information processed on behalf of customers
When our customers (e.g., a clinic) deploy a Flowlify AI receptionist, we process call audio, call transcripts, caller phone numbers, and any information callers share during a call. In that role we act as a data processor on behalf of our customer. The customer's own privacy notice governs how that data is collected and used.
3. How we use information
- To respond to inquiries and provide the services you request.
- To operate, maintain, and improve our website and AI receptionist platform.
- To communicate with you about your account, our services, and product updates.
- To send marketing emails about Flowlify, where permitted by law (you can opt out at any time).
- To detect, prevent, and respond to fraud, abuse, security risks, or technical issues.
- To comply with legal obligations and enforce our agreements.
4. How we share information
We do not sell your personal information. We share information only as needed to operate, including with:
- Service providers who help us run the business (hosting, email delivery, analytics, AI/voice processing, payment processing). They are contractually limited to using the data only to provide services to us.
- Legal and safety disclosures when required by law, subpoena, or to protect rights, property, or safety.
- Business transfers, such as a merger, acquisition, or asset sale — in which case we will require the recipient to honor this Policy or notify you of any material changes.
- With your direction, such as when you ask us to share information with a third party.
5. Cookies and similar technologies
We use a small number of cookies to keep the site working (e.g., remembering your language preference) and to understand how the site is used in aggregate. You can control or disable cookies in your browser settings; some site features may not work without them.
6. Email communications and unsubscribing
If we email you about Flowlify, every message includes a one-click unsubscribe link. You can also unsubscribe by emailing [email protected]. We honor unsubscribe requests promptly and within the timeframes required by the U.S. CAN-SPAM Act (no later than 10 business days). Transactional emails about an active account or booking will continue even after you unsubscribe from marketing.
7. Your privacy rights
Depending on where you live, you may have the right to access, correct, delete, or port the personal information we hold about you, and to object to or restrict certain uses. To exercise any of these rights, email [email protected]. We will respond within the time required by applicable law.
California residents (CCPA / CPRA)
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, gives you the following rights:
- Right to know what personal information we collect, use, disclose, and (if applicable) sell or share.
- Right to delete personal information we have collected about you, subject to certain exceptions.
- Right to correct inaccurate personal information.
- Right to opt out of the sale or sharing of personal information. As stated above, we do not sell or share personal information for cross-context behavioral advertising.
- Right to limit use and disclosure of sensitive personal information.
- Right to non-discrimination for exercising any of these rights.
To submit a verifiable consumer request, email [email protected] with the subject "California Privacy Request." We may need to verify your identity before responding. You may also designate an authorized agent to make a request on your behalf.
8. Data retention
We keep personal information only as long as needed for the purposes described in this Policy, to comply with our legal obligations, resolve disputes, and enforce our agreements. When data is no longer needed, we delete or anonymize it.
9. Security
We take reasonable administrative, technical, and physical safeguards to protect personal information from unauthorized access, disclosure, alteration, and destruction. No system is 100% secure, however, and we cannot guarantee absolute security.
10. Children's privacy
Our website and services are not directed to children under 13 (or under 16 in some jurisdictions). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
